Schedule birthday messages in Microsoft Teams

Last updated January 18, 2026

In a busy workday, remembering all the birthdays is difficult. Especially in larger teams or organizations where compositions change frequently. Yet it is precisely those small moments that make the difference in collaboration.
Microsoft Teams helps with this with a feature that is often overlooked: chat message scheduling. This ensures that a congratulatory message arrives on exactly the right day, even if your calendar is full.

Why scheduling birthdays in Teams works

Celebrating birthdays at work is not an obligation, but it contributes to engagement. A short message at the right time shows that you are paying attention to each other without it feeling forced.

Teams is practical for this purpose because:

  • you already work in this environment
  • messages remain personal, no automatic bot notification
  • you can work ahead without additional tools

It takes little time, but prevents moments from going unnoticed.

Automatically schedule a message in Microsoft Teams

Microsoft Teams offers the ability to schedule a chat message ahead of time. It works easier than many people think.

Step 1: Open the chat with your colleague

In Teams, go to Chat and open the conversation with the colleague whose birthday it is. This can be a one-on-one chat or a group chat. This step is important because scheduled messages are always linked to a specific chat.

Step 2: Write the birthday message

Type the message as you normally would. Keep it personal and short. Think of something appropriate to the collaboration, not a standard sentence. The message will be sent exactly as you type it now.

Step 3: Schedule the shipping time

Click with the right click on the send button (the arrow). Then select Schedule message and set the date and time. Teams automatically sends the message at that time, even if you are not online yourself.

Considerations for scheduled messages

Scheduled messages work reliably, but there are a few things to consider:

  • The message is sent only while the chat still exists
  • You can retrieve and edit the scheduled message before sending
  • The feature is available in the desktop version of Teams

Above all, check the date and time. A midnight congratulation is not always desired.

Practical experience at Mica IT

In practice, we see that this feature works especially well in teams where there is hybrid work. Not everyone is online at the same time every day, but scheduled posts provide a fixed moment of attention. With clients, team leaders often use this feature to keep calm in their schedules without forgetting social contact. It's a small setting that has a surprisingly large effect on daily collaboration.

In group chats, this does work. In channels, message scheduling depends on the Teams version and settings. In most environments, it works reliably only in chats.

Yes. As long as the message has not been sent, you can open it, edit it or delete it completely. This gives room to fix errors.

In almost all standard Microsoft 365 licenses, this feature is available. In highly customized or older environments, it may vary.
