TECHNICAL APPLICATION MANAGEMENT & COORDINATION
Application Management for Mission-Critical Software
When an ERP, CRM, financial, or industry-specific application malfunctions, your organization shouldn't have to figure out whether the problem lies with the software, server, database, integration, or vendor.
Mica IT manages the agreed-upon application chain and coordinates incidents, changes, updates, and vendors. We resolve issues that fall within our technical scope and ensure that the right specialist is brought in when product knowledge is needed.
- A single point of contact for the application, IT environment, and vendor
- Incidents, updates, and links according to established procedures
- Full management or collaboration with key users and internal IT

A single point of contact for the entire application chain
A business application almost never operates entirely on its own. Its operation may depend on accounts, databases, servers, Azure, networks, certificates, API integrations, printers, or a virtual desktop.
Mica IT is in charge of the technical coordination. We investigate the chain of events, gather relevant information, and remain involved until the cause, the responsible party, and the next steps are clear.
- Applications, dependencies, and ownership documented
- Technical changes and supplier updates coordinated
- Managed accounts, service accounts, and certificates
- Insight into Links and Scheduled Processes
- Backup and recovery procedures included where necessary
- Incidents tracked across multiple suppliers
The Benefits of Effective Application Management for Your Organization
Application management isn't just about technology. Above all, it provides clarity on who takes action when software changes, slows down, or fails.
A single point of contact for problems
Employees do not have to determine which supplier is responsible on their own. Mica IT conducts the initial analysis and coordinates the follow-up.
Reviewed Changes
Updates, releases, and technical changes are reviewed, scheduled, and, where possible, tested in advance.
Get to the root cause faster
By understanding dependencies, changes, and technical logging, it is possible to investigate more precisely where a problem originates.
Knowledge Well Documented
Configurations, links, exceptions, and management agreements are not confined to the mind of a single employee or vendor.
Risks Identified Earlier
Outdated versions, expiring certificates, vulnerable links, and unclear responsibilities are more likely to come to light.
Control over the lifecycle and costs
You'll gain insight into licenses, versions, support, dependencies, and components that will need to be replaced in the future.
Where are the weak links in your application landscape?
We’ll map out the key applications, integrations, vendors, and management agreements. You’ll receive initial advice on risks, responsibilities, and what Mica IT can take over.

This is how Mica IT takes over application management in a controlled manner
We don't start making changes right away. First, we carefully map out the applications, processes, dependencies, and existing agreements.
Step 1. Identify applications and critical processes
We determine which applications are important, who uses them, and what the consequences are if an application is unavailable.
Step 2. Define Dependencies and Responsibilities
We identify suppliers, servers, databases, accounts, integrations, certificates, backups, and internal owners.
Step 3. Develop a management plan and transfer arrangements
For each application, you will receive a clear scope that includes tasks, exceptions, response times, escalation procedures, and costs.
Step 4. Get the technical foundation in order
We are addressing backlogs in documentation, access, versions, monitoring, backup procedures, and outstanding risks in order of priority.
Step 5. Managing Incidents and Changes
Mica IT handles technical reports, coordinates with vendors, and oversees updates, releases, and other changes.
Step 6. Periodically evaluate and improve
We discuss recurring incidents, the lifecycle, costs, risks, and upcoming changes, and determine what improvements are needed.

Frequently asked questions about application management
What does Mica IT's application management service include?
Application management encompasses the agreed-upon tasks necessary to ensure that selected business applications remain technically manageable and usable.
Depending on the application, this may include:
- technical configuration;
- accounts and service accounts;
- updates and releases;
- links and certificates;
- incident analysis;
- monitoring and logging;
- backup and recovery procedures;
- supplier contact;
- documentation;
- lifecycle planning;
- Technical user support.
The exact scope varies by application. That is why we define in advance what Mica IT manages, what remains the responsibility of your organization, and which tasks fall under the software vendor’s purview.
What is the difference between technical and functional application management?
Technical application management focuses on the operation of the application and its surrounding technical environment. This includes availability, configuration, updates, databases, accounts, integrations, certificates, monitoring, and incidents.
Functional management focuses on the integration between the application, users, and business processes. For example, the functional manager or key user determines which configuration, workflow, fields, and reports are needed.
Mica IT focuses primarily on technical application management and vendor management. Functional decisions are typically left to your process owner or key user. Support for adoption, documentation, or process improvement can be arranged separately.
Can you manage any application?
Not automatically. During the assessment, we evaluate the following, among other things:
- whether the application is still supported;
- whether technical access and documentation are available;
- whether there is an active software vendor or developer;
- what management and monitoring options are available;
- how the application is licensed;
- what links and dependencies exist;
- what knowledge is available within your organization.
In the case of outdated custom software with no active vendor, a separate continuity, replacement, or migration plan may be required first.
Can you take over our existing application management?
Yes. We are taking inventory of the applications, vendors, accounts, versions, licenses, contracts, integrations, databases, certificates, backups, documentation, and outstanding issues.
Next, we'll create a management plan that includes:
- the new division of responsibilities;
- required access;
- missing documentation;
- outstanding risks;
- escalation procedures;
- support agreements;
- a schedule for the transfer.
If something is set up properly, there’s no need to rebuild it. We only make the necessary improvements to ensure that management is transparent and transferable.
Do you also manage SaaS applications?
Yes, but the management process is different from that of locally installed software.
With a SaaS solution, the provider typically manages the source code and the underlying platform. Within the agreed-upon scope, Mica IT can, among other things, provide:
- users and access rights;
- single sign-on and multi-factor authentication;
- configuration and technical settings;
- integrations with other systems;
- supplier notifications and escalations;
- change notification;
- technical user support;
- Lifecycle and contract monitoring.
In doing so, we clarify which components can be modified by Mica IT and which can be modified only by the SaaS provider.
How do you collaborate with software vendors?
Users and internal IT staff can submit their technical questions to Mica IT. We first investigate whether the cause lies with the workstation, identity, connection, server, database, integration, or application.
When product-specific knowledge or an adjustment by the supplier is required, we open and manage the support ticket. We provide relevant error information, monitor progress, and translate the supplier’s response into concrete next steps.
This means that Mica IT remains the point of contact for coordination, even when another party is responsible for implementing part of the solution.
How do you manage application updates and releases?
We assess in advance what changes are being announced, which dependencies may be affected, and which users or processes may be impacted.
Depending on the application, the approach consists of:
- review of release information;
- verification of requirements and dependencies;
- backup or contingency arrangements;
- test in a separate environment whenever possible;
- acceptance by a key user;
- scheduling a maintenance appointment;
- verification after the change;
- documentation of the results.
With some SaaS applications, the vendor determines the timing of updates. In such cases, the focus is on impact analysis, communication, monitoring, and rapid escalation when problems arise.
Do you also manage links and APIs?
Yes, provided they fall within the agreed-upon scope.
Among other things, we identify:
- which systems exchange data;
- which accounts and certificates are used;
- how often synchronizations occur;
- who owns each link;
- which logging and error messages are available;
- which supplier is responsible for changes.
Where technically feasible, we can identify errors and outages. Developing or making significant changes to an API or custom integration is usually a separate project and may require additional expertise from the software vendor or developer.
How do you secure your business applications?
The appropriate measures depend on the application, architecture, risks, and available functionality.
Examples include:
- Supported software versions;
- security updates;
- minimum access rights;
- separate administrator accounts;
- multi-factor authentication and single sign-on where supported;
- management of service accounts;
- certificate management;
- logging and monitoring;
- backup and recovery procedures;
- Periodic review of users and permissions.
No single measure automatically makes an application completely secure or compliant. We identify risks, document exceptions, and tailor measures to your organization.
Can you work together with our in-house IT department or key users?
Yes. Joint management is often the best approach, especially for business applications.
The internal key user or process owner is familiar with the work processes, users, and functional requirements. Mica IT, for example, handles technical operations, monitoring, changes, security, and vendor escalations.
For each application, we record the following:
- who is the functional owner;
- who makes technical changes;
- who handles user questions;
- who is in contact with the supplier;
- anyone who accepts an update;
- who is authorized to make decisions in the event of an incident.
This fosters collaboration without duplication of effort or gaps in responsibility.
Can employees contact Mica IT directly?
That's possible when user support is part of the service.
Employees can then report technical issues directly to the Mica IT service desk. We determine whether the issue can be resolved immediately, needs to be escalated to a key user, or requires specialized support from the software vendor.
The contact options, support hours, priority levels, and response times are established in advance.
How much does application management cost?
The costs depend, among other things, on:
- the number of applications to be managed;
- the technical complexity;
- the number of users;
- the software's business-critical features;
- the number of connections and suppliers;
- the current documentation;
- Desired support and availability hours;
- required monitoring;
- the frequency of updates and changes.
A proposal typically consists of one-time fees for assessment, transfer, and setup, as well as a monthly fee for the agreed-upon management services. Projects, major upgrades, migrations, or customizations are listed separately.
