Microsoft 365 Copilot Chat is available with eligible Microsoft 365 subscriptions without requiring an additional user license and offers, among other things, a secure, web-based AI chat environment.

A paid Microsoft 365 Copilot license adds work-related context and more advanced Copilot capabilities based on the Microsoft 365 information the user has access to. Which option is right for you depends on your subscriptions, work activities, and users. Mica IT reviews the current capabilities and provides recommendations for each user group.

No. Not every role uses Copilot in the same way, and a paid license doesn't provide enough value for every employee.

First, we’ll look at work activities and user groups. For some employees, Copilot Chat may be sufficient; for other roles, the paid Microsoft 365 Copilot license may be a good fit. By starting with a targeted pilot, you can prevent licenses from going unused.

Copilot respects existing identities and access permissions within Microsoft 365. A user does not suddenly gain access through Copilot to information for which they do not have permissions.

That doesn’t mean every environment is automatically set up properly. If users have overly broad permissions or information is shared more widely than necessary, that remains a risk even with Copilot. That’s why we assess accounts, permissions, sharing, and relevant security settings in advance, among other things. Employees are also taught to verify Copilot’s responses and to handle sensitive information with care.

We are reviewing the current Microsoft 365 subscriptions, user accounts, applications, access rights, data sharing, Teams and SharePoint structures, security settings, and existing agreements regarding AI use.

A broader rollout that first requires improvements to access rights, SharePoint sites, or work procedures will take more time. After the assessment, you will therefore receive a realistic timeline tailored to your situation.

Yes. The training is tailored to the user groups and work activities within your organization. Employees will not only learn how to give Copilot effective prompts, but also how to verify sources and results, handle company information responsibly, and recognize when Copilot is not the right solution.

We will tailor the format, scope, and support in advance to the pilot and the desired rollout.

Yes. Depending on the agreements in place, Mica IT can handle, among other things, license changes, relevant Microsoft 365 settings, access rights, user support, and periodic optimization.

We monitor relevant product changes and can evaluate usage and licensing data. This ensures that Copilot stays aligned with changes in your organization and prevents the service from stalling after the initial rollout.

Copilot uses existing information from Microsoft 365, such as email, files, and collaboration data. That underlying data can be protected through Mica IT’s separate Microsoft 365 backup service.

For each organization, we specify which Exchange, OneDrive, SharePoint, and supported Teams data is covered by the backup, what retention periods apply, and how recovery requests are handled. This therefore concerns the protection of the data on which Copilot operates, not a general promise that every Copilot response generated will be backed up individually.

The total cost generally consists of three components:

  • the required Microsoft licenses;
  • one-time tasks related to assessment, preparation, setup, and training;
  • ongoing management and support, if needed.

The number of users alone does not determine the price. The current setup, the desired support, and any improvements to permissions or the data structure also play a role. After the assessment, you will receive a transparent proposal in which licenses, one-time tasks, and recurring services are listed separately.
