FULLY MANAGED WORKSPACES

The Fully Managed Modern Workplace for Small and Medium-Sized Businesses

From laptops and Microsoft 365 to security, backup, and support: Mica IT provides and manages the complete digital workspace for every employee—whether in the office, at home, or on the go.

From devices to support: one workspace per employee

A Microsoft 365 license alone does not make for a well-managed workplace. Employees also need a suitable device, a secure account, the right applications and permissions, clear storage options, and support when something isn't working.

Mica IT brings all these components together into a single managed service. We retain what is already set up well, standardize what is necessary, and define in advance what we will manage, secure, and support.

  • New and existing devices professionally configured
  • Accounts, licenses, and permissions appropriate for the position
  • Outlook, Teams, SharePoint, and OneDrive Set Up Logically
  • Centrally Managed Settings, Updates, and Security
  • Backup and Recovery According to Clear Agreements
  • Support, replacement, and termination handled by a single team

The Benefits of a Well-Managed Workplace Every Day

Well-prepared at the start

Accounts, licenses, permissions, applications, and devices will be set up according to the agreed-upon scope and schedule.

One Consistent Standard

Devices are provided with a managed set of settings, updates, security policies, and approved applications.

Controlled Access

Access to company data is tailored to the user, the device, and the agreed-upon policy.

Data and Recovery Arranged

Files are organized centrally in an appropriate manner, and agreements regarding backups, retention periods, and recovery are clearly defined in advance.

A Single Point of Contact for Support

Employees know where to turn and can speak directly with Mica IT's service desk and engineers.

Managing Change

Onboarding, job changes, substitutions, and offboarding follow a standard procedure.

How well are your workspaces currently organized?

During a no-obligation assessment, we’ll review your devices, accounts, Microsoft 365, security, backup, onboarding, and support. You’ll get an initial, practical overview of what’s working well, what needs attention, and what the next logical step should be.

Three components, one managed workspace

Microsoft technology forms the foundation. The value lies in the integration, the setup, and the day-to-day management by Mica IT.

From the current situation to a single, managed standard

Whether you want to modernize, standardize, or switch IT partners, you don’t have to replace everything all at once. We’ll first identify what can stay as is, test the new setup, and then roll it out in a controlled manner.

Step 1. Assessment and User Profiles

We map out devices, accounts, applications, data, permissions, locations, and different types of employees.

Step 2. Workplace Standards and Agreements

For each user profile, we determine the configuration, licenses, security, backup, support, and division of responsibilities.

Step 3. Pilot and Preparation

We are testing the system with a small group of users and carefully preparing devices, accounts, data, and communication.

Step 4. Rollout and Support

We supply or configure devices, carry out the agreed-upon migrations, and assist employees with the transition.

Step 5. Management and Lifecycle

We handle changes, updates, security checks, support, replacements, and onboarding and offboarding in accordance with established agreements.

Ready for workspaces that remain well-organized even after completion?

Have your existing workstations assessed or discuss a phased transition. You’ll receive a clear proposal covering devices, licenses, setup, security, backup, management, and support.

Frequently asked questions about the Modern Workplace

The Modern Workplace includes the agreed-upon components that an employee needs to be able to work digitally. These include the device, account, Microsoft 365 licenses, applications, data, access rights, security settings, backup, and daily support.

Mica IT can supply and set up devices, take existing devices under management, manage users and permissions, roll out standard applications, and provide support to employees. We clearly define in advance which components are included, who is responsible for what, and what exceptions apply.

Microsoft 365 is a platform for email, documents, communication, and collaboration, among other things. Outlook, Teams, SharePoint, and OneDrive are part of it.

The Modern Workplace goes beyond Microsoft 365. It also includes the device an employee uses to work, employee identity and access, centralized device management, security, onboarding, device replacement, offboarding, and user support.

If you want us to manage only your Microsoft 365 environment, our Microsoft 365 services are the right choice. If you want us to manage the entire workspace for each employee, the Modern Workplace is a better fit.

Yes. We'll start by taking inventory of devices, accounts, licenses, applications, Microsoft 365, Intune, access rights, security, backups, and available documentation.

Next, we determine what can remain as is, what needs to be improved, and which components will be standardized in phases. The transition from a current IT partner can also be part of the plan. This means that not all existing devices need to be replaced automatically.

Yes. Mica IT can provide advice on laptops, monitors, docking stations, and other necessary equipment. We can supply and set up new devices, as well as take over the management of suitable existing devices.

Depending on the chosen configuration, we use Microsoft Intune and Windows Autopilot to roll out settings, applications, and security policies. Agreements regarding warranty, repair, replacement, and disposal are established in advance.

When a new employee joins the company, we determine which licenses, permissions, applications, and equipment are needed based on the position. These items are prepared according to the agreed-upon schedule.

Upon termination of employment, access rights are revoked, active sessions are terminated as necessary, and data is retained, transferred, or deleted in accordance with the agreed-upon policy. The device can then be securely wiped and reassigned. This ensures that not only the technology but also the entire user lifecycle remains manageable.

The measures are tailored to your organization’s data, risks, operating procedures, and existing licenses. These include multi-factor authentication, appropriate access rules, least privilege, device policies via Intune, encryption, endpoint security, updates, email security, and backup.

We implement Conditional Access and additional Microsoft security features when the licenses and risks warrant it. No single solution eliminates all risks, but a cohesive setup reduces the likelihood of incidents and enables faster response and recovery. Mica IT’s management processes are ISO 27001:2022-certified.

No. Many employees can work just fine on a locally managed laptop with Microsoft 365, Intune, and appropriate security measures.

Azure Virtual Desktop can be implemented when applications need to run centrally, older software does not work properly on modern devices, additional computing power is required, or data must remain within a centralized environment for security reasons. Mica IT first assesses whether AVD truly provides added value.

Yes. In joint management, we divide the tasks based on expertise, capacity, and responsibility.

For example, the in-house IT staff member can focus on business processes and applications, while Mica IT handles device management, Microsoft 365, security, monitoring, support, or specialized escalations. The division of responsibilities is defined for each area to prevent any confusion or duplication of effort.

The costs depend on the number and type of employees, the required Microsoft licenses, the chosen equipment, the current setup, security, backup, and the desired level of support.

A proposal usually consists of:

  • any one-time costs for assessment, setup, or migration;
  • license and hardware costs;
  • a monthly fee for the agreed-upon management and support;
  • any additional services, such as Azure Virtual Desktop or application management.

After the assessment, you will receive a clear proposal that specifically outlines the tasks, responsibilities, exceptions, and costs.
