Steps to View Readability Statistics in Word

For Microsoft Word 365 and Newer Versions:

  1. Open your Word document.
  2. Choose the tab Home.
  3. Select Editor and then go to Document Statistics.
  4. A dialog box appears telling you that Word is calculating your document's statistics.
  5. Select OK and Word displays a window with information about your document's statistics and reading level.

For Older Versions of Word:

  1. Go to File > Options.
  2. Select Check.
  3. Under correcting spelling and grammar in Word, be sure to check the box Checking grammar with spell check check box.
  4. Select Show readability statistics.
  5. Return to your document and select Spelling & Grammar. After correcting or ignoring any spelling or grammar corrections, Word opens the Readability Statistics window with information about the reading level of your document.

Understanding Readability Scores

Flesch Reading Ease Test:

This test evaluates text on a 100-point scale. The higher the score, the easier the document is to understand. For most standard documents, the score should be between 60 and 70.

 

Formula:

206,835 - (1,015 x ASL) - (84.6 x ASW)

in which:

ASL = average sentence length (number of words divided by the number of sentences)
ASW = average number of syllables per word (number of syllables divided by number of words)

 

Flesch-Kincaid Grade Level Test:

This test evaluates text on an American school year level. For example, a score of 8.0 means that an eighth-grade student can understand the document. The goal for most documents is a score of about 7.0 to 8.0.

 

Formula:

(.39 x ASL) + (11.8 x ASW) - 15.59

Language settings and Readability scores

The languages you use in a document can affect how your Office program checks and presents readability scores. If you set up Word to check the spelling and grammar of text in other languages and a document contains text in multiple languages, Word displays readability statistics only for the text in the most recently checked language. For some European languages within an English document, Word only provides information on counts and averages, not readability.
