Step 1: Open Outlook and find the right email
First, of course, you must Open Outlook. This is because without opening Outlook, you cannot view emails or save contacts. Once you've opened Outlook, go to your inbox and find the email from the person you want to add.
Tip: Use the search bar at the top of your inbox to find the email faster. Type in the sender's name, for example, or use keywords from the subject line. This is especially useful when you receive a lot of e-mails and don't know where to look right away. Make sure you always select the most recent mail so you save the correct information.
Step 2: Right-click on the sender's name
Once you find the right email, go to the sender's name in the email header. This is the name you see above the e-mail body, near the subject line. Click with the right mouse button on the sender's name.
A menu appears with several options. For example, in this menu you can perform a search, but you now want to use the option to save this person as a contact. By performing this step correctly, you avoid accidentally copying or pasting the name into another program. This makes the process efficient and orderly.
Step 3: Add to Outlook contacts
After right-clicking on the name, select from the menu the option "Add to Outlook contacts". Once you click this, a new window will open, automatically filling in the sender's contact information.
This window allows you to further customize the contact's information. For example, you can add a phone number, enter the company name or leave a note. Do you have additional information, such as an alternate e-mail or LinkedIn profile? Feel free to add those! This way you always have all the important data in one place.
This option prevents you from missing or incompletely saving data later.
Step 4: Save and close contact information
When you are satisfied with the information you have entered, click the button "Save and Close". This will permanently add the data to your Outlook contacts. If you skip this step, you will lose the entered data and the contact will not be saved.
Note: Sometimes you may forget to click the button or accidentally close the window. This means that the changes are not saved. Therefore, always check carefully that you have clicked "Save and Close" before leaving the window. This will prevent you from having to start over and lose valuable time.
Step 5: Verify that the contact has been added
After saving the contact, it is important to verify that it is actually in your Outlook contacts. To do this, go to the section "Contacts" in Outlook. You can usually find this option in the navigation bar at the bottom left of the screen. Click on "Contacts" and search for the name you just added.
Do you see the contact appear? Then everything went well! If not, you can try going through the process again. Sometimes contacts are saved in a different folder by mistake. So make sure you search in the right folder. This way you'll have quick access to all your contacts.
