Implement, improve, or have SharePoint managed
You don't have to start from scratch. We'll integrate with your current Microsoft 365 environment and clearly outline in advance what can stay the same, what needs to change, and who will be responsible after delivery.
New SharePoint Implementation
We set up SharePoint from the ground up. Together, we determine where information belongs, how departments and projects collaborate, and who is responsible for content and management.
Next, we'll build a well-organized environment with sites, document libraries, navigation, and permissions.
Improving an Existing SharePoint Environment
We evaluate sites, linked Teams environments, document libraries, permissions, external access, and ownership.
You’ll receive a prioritized improvement plan. We’ll keep what works well and address any areas where fragmentation, ambiguity, or unnecessary risk have arisen.
Migration and Management Takeover
We migrate files from a file server, network drive, existing SharePoint environment, or other cloud storage.
First, we set up the new structure and permissions. Then we carry out the transition in a controlled manner and can take over day-to-day management.
Not sure if SharePoint is set up correctly?
An environment may function technically, yet employees may be unable to locate documents, mix up Teams and SharePoint, or accumulate permissions without realizing it. During an assessment, we map out the structure, data, access, licenses, and management agreements, and identify the most important next steps.
Our SharePoint Approach: Design First, Then Roll Out in a Controlled Manner
A good SharePoint environment doesn't start with creating as many sites as possible. First, we determine how information is used, shared, and managed. That's why we follow a six-step process.
Step 1. Objective, Scope, and Responsibilities
We determine how SharePoint will be used, which users and departments are included in the scope, and which tasks will be handled by Mica IT or by your own organization.
Step 2. Current Environment and Data
We take stock of existing SharePoint and Teams environments, files, folders, permissions, external users, licenses, and technical dependencies.
Step 3. Structure and Management Agreements
We design sites, document libraries, navigation, and relevant document properties. We also define who is responsible, how new environments are created, and how uncontrolled growth is prevented.
Step 4. Technical Setup and Permissions
We configure the agreed-upon sites, libraries, groups, site settings, version control, and integrations with Teams, OneDrive, and other components of Microsoft 365.
Step 5. Pilot, Migration, and Adoption
We will test the system with a representative group of users. We will then carry out the migration and rollout in phases, providing practical guidance to employees.
Step 6. Support and Ongoing Management
We define roles and responsibilities. We then provide support, make changes, manage permissions, create new sites, and implement periodic improvements in accordance with the agreed-upon scope.
SharePoint in Practice: Technology and Adoption
A technically functional environment does not necessarily mean a successful implementation. Employees need to know where information belongs and how to use SharePoint, Teams, and OneDrive in their daily work.
Ready for a SharePoint environment that stays organized even after going live?
Discuss whether you want to set up a new SharePoint environment, migrate data, implement an intranet, or improve an existing environment. You’ll receive a clear proposal outlining the scope, timeline, responsibilities, training, support, and, if applicable, ongoing management.
What Mica IT Sets Up and Manages Within Microsoft SharePoint
We only implement components that are tailored to your organization, information, risks, and available licenses. Every decision must remain understandable, practical, and manageable.
Sites and Navigation
Communication and team sites for the organization, departments, and projects, featuring clear navigation and logical interconnections.
Document Libraries and Document Management
Libraries, folders, views, version control, templates, and document properties that allow information to be stored and retrieved in an organized manner.
Rights and External Sharing
Clear ownership, manageable groups, and appropriate settings for internal access, guests, vendors, and other external partners.
Intranet and Knowledge Sharing
A central hub for news, procedures, work instructions, forms, important links, and information for employees.
Teams and OneDrive
A logical separation between personal files, shared documents, and collaboration within Teams, without creating competing storage locations.
Migration, Training, and Management
Analysis, data cleansing, test migration, implementation, user training, and support for changes and questions after delivery.

What exactly is Microsoft SharePoint?
SharePoint is a platform within Microsoft 365 for document management, collaboration, internal pages, and knowledge sharing. Organizations use it to centrally store, organize, share, and collaboratively edit information.
Mica IT doesn't just provide a license or a blank SharePoint site. We assist with the design, technical setup, migration, permissions, training, and ongoing management.
What is the difference between SharePoint, Teams, and OneDrive?
OneDrive is primarily intended for personal work files. SharePoint is the environment for sharing information within a team, department, project, or the entire organization.
Microsoft Teams brings communication, meetings, and collaboration together. Files in a regular Teams channel are stored in the linked SharePoint site. Mica IT sets up the structure so that employees know which location is intended for what purpose.
Can you migrate our file server or network drive to SharePoint?
Yes, when SharePoint is a good fit for the data and the way we work. We don't automatically copy an existing folder structure one-to-one.
First, we assess the files, structure, permissions, ownership, and technical constraints. Then, we set up the destination, perform a test migration, and migrate the data in a controlled manner. Microsoft also identifies preparation, assessment, destination setup, migration, and user support as separate phases in this process.
Can you assess and take over an existing SharePoint environment?
Yes. We are taking inventory of sites, Teams integrations, document libraries, permissions, external access, ownership, navigation, and available documentation.
You will then receive a prioritized improvement plan. We’ll keep what’s working well, address the most critical issues, and can either take over management entirely or share it with your internal IT team.
Is SharePoint suitable for document management and an intranet?
SharePoint can be used for shared documents, department and project sites, procedures, news, knowledge, and internal communication.
It is not a ready-made intranet, nor is it automatically the right solution for every specialized process. That is why we determine in advance what SharePoint needs to address and which structure, features, or additional applications are appropriate for that purpose.
How do you set up permissions and external access?
We prefer to work with clearly identified site owners and manageable groups. We limit individual permissions on separate files and folders whenever possible.
In addition, we agree on what information may be shared externally, what sharing options are available, and who periodically reviews access permissions. SharePoint has settings for this at both the organizational and site levels, with the most restrictive setting taking precedence.
Do you provide training for your employees and administrators?
Yes. Employees learn where documents belong, how Teams, SharePoint, and OneDrive work together, and how sharing, searching, and collaborative editing work in practice.
Owners and managers will receive an explanation of their responsibilities. Training can be part of the implementation process or provided through the Mica Academy.
Does Mica IT also manage SharePoint after implementation?
Yes. Depending on the terms of our agreement, we handle the creation of new sites, changes to permissions and ownership, guest access, navigation, document libraries, user support, and periodic optimization.
Mica IT can handle all aspects of management or collaborate with an in-house IT staff member, functional administrator, or communications department.
What licenses are required, and how much does a SharePoint project cost?
SharePoint Online is included in various Microsoft 365 business subscriptions and is also available separately. The licenses required depend on the desired features and the rest of the Microsoft 365 environment.
Project costs are determined by the current situation, the volume of data, migration, setup, training, and the desired management role. After the assessment, you will receive a transparent proposal that itemizes licenses, one-time tasks, and ongoing services separately.
Is version history the same as a SharePoint backup?
No. The version history and the trash can help with many day-to-day recovery issues, but they are not the same as a separately managed backup.
Mica IT can include SharePoint in the Microsoft 365 backup service, with agreed-upon retention periods, monitoring, and recovery support.
